Thank you for speaking at KubeCon + CloudNativeCon North America 2019, taking place November 18–21, at the San Diego Convention Center in San Diego, California.

We are delighted that you have joined us as a speaker. 

Below are a few onsite logistic details you will need.

                

Onsite Contact

Speaker Lounge

Please feel free to utilize the speaker lounge and ready-room, located in Room 4, Upper Level at the San Diego Convention Center, Tuesday through Thursday during event hours. 

Session AV Setup + Arrival Time

Breakouts + Tutorials + Maintainer Track Sessions: Please report to your room 10-15 minutes before your session to connect your laptop to the projector. An AV tech will available to assist as needed. Note: Breakout speakers will be introduced to the audience by assigned track hosts. Tutorials and Maintainer Track sessions will introduce themselves.

Lightning Talks: Lightning Talk speakers must arrive at 3:40pm in Exhibit Hall AB at the San Diego Convention Center on Monday, November 18. This will be your only chance to test your slides, iron out any a/v issues, and get a feel for the stage before the Lightning Talk sessions begin. There will be 12 speakers arriving and we will go over everything at the same time with all and allow for each person to do a brief walk-thru. 

PowerPoint Bug on Mac: Please be aware there is a bug in PowerPoint for Mac version 16.30 that (often) doesn’t advance the notes as the slides change.

The solution is to change your Updates channel to Insider Slow and get 16.31 installed, which fixes the bug.

Upload Presentation Slides to Sched.com

If you have not already done so, please submit a PDF copy of your deck to sched.com, in 16:9 format, by following these simple instructions:

  1. Log into your KubeCon + CloudNativeCon speaker profile through sched.com
  2. Click “Manage Session” (next to your session)
  3. Click “Add Presentation”
  4. Click the “Select a File” box and add the pdf document (note: there is a 50MB size limit)
  5. Click “Upload” and your slides will automatically be saved

Note: Breakout speakers will be presenting their slides directly from their own laptop; lightning talk speakers will need to email me their final presentation in PowerPoint format only. Uploading to sched.com is simply for attendees to use as a reference.

We designed an optional KubeCon + CloudNativeCon North America PowerPoint template for our speakers. Use of this template is not required but we do welcome you to use it for your convenience. Presentations must be formatted in 16:9.

Co-Chairs

Bryan Liles

Bryan Liles is a Senior Staff Engineer at VMware. He leads the Developer Experience group, which creates solutions to help developers be more productive in Kubernetes. When not working, Bryan builds and races cars and drones.

 

Vicki Cheung

Vicki is an engineering manager at Lyft, where she helps drive the company-wide Kubernetes migration. Previously, she was the Head of Infrastructure and founding engineer at OpenAI, where she and her team built out their Kubernetes-based deep learning infrastructure.

REGISTRATION + VISA REQUESTS + TRAVEL FUNDING

Registration

To confirm that you will be presenting, please go to the speaker-specific registration page to register as a speaker by Friday, September 20. If you are not registered by September 20, there is a possibility that your speaking slot will be replaced by one on our waiting list so please do so promptly. If you previously purchased your registration, please email Nanci Lancaster and she will get your registration updated and any refunds processed.

 

Visa Letter Requests

If you require a visa letter, please register for the event, and then complete the visa letter request form.

We also ask that you please note the following:

  • Provision of a visa letter by Linux Foundation does not guarantee visa approval as final approval is made at the sole discretion of the government of the event’s host country.
  • The Linux Foundation strongly recommends requesting a visa letter at your earliest possible convenience and to contact your local Embassy/Consulate with any visa questions you may have.
  • Linux Foundation processes most visa letter requests in (3) business days.

Speaker Travel Funding

CNCF is able to provide travel funding on a case by case basis to speakers who are unable to pay for their own travel expenses and whose companies are not willing to provide assistance. The deadline to submit a request for travel funding was Friday, September 27.

Note: Talk acceptance does not guarantee travel funding.

Rooms may sell out in advance of the room block close rate – we encourage you to book early to secure a room at the conference rate.

SCHEDULE INFORMATION + UPDATE REQUESTS

Schedule

The schedule was announced on Thursday, September 5, and posted on our website using Sched.com. You will receive an email directly from Sched.com asking you to create your account.  Please upload your bio and photo no later than Monday, September 23.

New for KubeCon + CloudNativeCon: To minimize overcrowded sessions, we will not be assigning sessions to rooms until closer to the event. Sessions will be assigned to rooms based on popularity shown within schedules built by attendees and not by track. This means a room could have up to 15 different tracks vs just housing one seamless track. You will know what room your session is assigned two weeks before the event. Note: The exceptions to this are keynotes and lightning talks, which are assigned to the same room: Exhibit Hall AB.

Please note that all breakout sessions are 35-minute in duration, tutorials are 90-minutes, and lightning talks are 5-minutes. Additionally, please note that Lightning Talks are only on Monday, November 18 and tutorials are only on Thursday, November 21. If you have a conflict with the timing of your talk or are having problems uploading your bio and photo, please contact Nanci Lancaster.

Speaker Cancellation and Session Update Policy

If you need to cancel or update your session, please contact Nanci Lancaster and note the below policy. All requests must be made by Monday, November 4.

  • If you are on a solo session and are no longer able to attend the conference, your session will be canceled and replaced with a session from the waitlist. Neither you nor your company will be allowed to replace you as a speaker.
  • If you are on a session with one speaker, and would like to add a co-speaker, or, are on a session with two or more speakers and would like to replace one of the speakers, your replacement or addition request will need to be approved by the co-chairs before we are able to add them as a speaker.
  • If you have any update requests to your session (speaker changes, description updates, etc.), those requests must be made no later than Monday, November 4.

AV DETAILS + TRACK HOSTS

AV Details + Requirements

Any additional AV requests are due by Friday, October 25

The room will include a screen, projector, (2) wireless microphones, and (1) handheld microphone for audience Q&A, so be sure to leave time at the end of your talk for questions.

Required: All speakers will need to supply their own computer and necessary adaptors to use during their session

Exception: If you are a Lightning Talk speaker, you will be required to email your final presentation, in PowerPoint format only, directly to Nanci Lancaster no later than one week before the event on Monday, November 11. We will combine all Lightning Talk presentations into one seamless deck, controlled backstage instead of the speakers needing to use their own laptops.

NOTE: The projectors have both VGA and HDMI capabilities/outputs and can accommodate either. If you require any additional AV, please email Nanci Lancaster with those needs by Friday, October 25. CNCF will make every effort to accommodate additional A/V needs; however, final approval for additional A/V requests will be made on a case-by-case basis.

Track Hosts

**Breakout and Tutorial Speakers Only**

Please be aware that when you arrive to your room no later than 15-minutes before your session begins, you will be greeted by a program committee member that has volunteered their time on-site to be a track host. Their role is to introduce you to the audience at the start of your session, help facilitate Q&A, and maintain the integrity of the session. Please email Nanci Lancaster if you have any questions regarding track hosts.

 

POWERPOINT TEMPLATE + PRESENTATION REQUIREMENTS

 

Speaker PowerPoint Presentation Template

We designed an optional KubeCon + CloudNativeCon North America PowerPoint template for our speakers. Use of this template is not required but we do welcome you to use it for your convenience.

Helpful Notes on Presentation Design

  • Obsolete, low-res (i.e., pixelated), and malformatted logos are an epidemic among conference presentations. High-res logos of over 1000 cloud native projects, products, and companies are available in the cloud native landscape and the serverless and member landscapes. All logos are in the card mode and can be found with Cmd-F or Cntl-F from your browser. Note that all of these logos are stacked, not horizontal, and include the name. The logos are all the most current (or you can open a pull request if they’re not). Also note that the text below the logo shows the proper capitalization of projects like gRPC and containerd. In particular, Alibaba Cloud, Amazon Web Services, Google Cloud, and Microsoft Azure have all changed their logos in the last couple years; please use their current one.
  • Please see the CNCF style guide which covers things like abbreviating Kubernetes as K8s not K8 or K8S.

Presentation Requirements

Upload to Sched.com by Monday, November 11

All breakout, maintainer track, lightning talk, and tutorial speakers are required to upload their final presentation slides ahead of the event. In addition to providing a hard copy for accessibility purposes, we find that adding the presentations before the event helps to drive interest in attending the session.

Please note that your presentation slides should be uploaded in PDF-format to Sched.com and must be formatted in 16:9.

To upload slides:

  • Log into your KubeCon + CloudNativeCon North America 2019 speaker profile through Sched.com or via the mobile site
  • On the top of the page, click “Manage and Promote Your Session”
  • Click “Add Presentation”
  • Click in the “Select a File” box and add the PDF document (note: there is a 50MB size limit)
  • Click “Upload” and your slides will automatically be saved

Additional Requirements – Lightning Talks Only

If you are a Lightning Talk speaker, you will be required to email your final presentation, in PowerPoint format only, directly to Nanci Lancaster no later than one week before the event on Monday, November 11. We will combine all Lightning Talk presentations into one seamless deck, controlled backstage instead of the speakers needing to use their own laptops. On the day of the Lightning Talks, November 18, you will be required to arrive to Exhibit Hall AB no later than 4:00pm for a brief stage and logistics walk-thru to best prepare you for the flow of the lightning talk session.

Contributed Content Opportunities

As your communications teams prepare for KubeCon + CloudNativeCon North America, we’ve had several key publications express interest in having our members, speakers and sponsors contribute thought leadership collateral ahead of the show. 

The opportunities listed below are optional, and of course open to everyone. We do however encourage you to participate to help build buzz, and shape the conversation heading into the show. In particular, this is a great way for speakers to raise their profile, and draw attention to your upcoming talk tracks. 

Below please find the guidelines and publications. Please submit the final articles to PR@cncf.io with your headshot and bio. Please try to send all articles by October 25, however if you can send before, please do as our media partners need time to get submissions scheduled and may not be able to accommodate all 

Examples that were published previously: 

Guidelines: 

  • The article must be vendor-neutral, and educational themed content
  • Focus on high-level concepts coming out of presentations or general trends and themes happening around cloud native, containers, Kubernetes. 
  • Suggested trends that are popular around cloud native include community culture, microservices, serverless, service mesh, edge computing, security, CNFs, containers, enterprise adoption.  
  • Additional topics of interest include: IT vs. Business Leaders, data analytics, digital transformation, and virtualization.  
  • The ideal length is 800-1,500 words.
  • You may include any sort of infographic, image, if you’re inclined.
  • Q&A interviews with questions and answers submitted for publication are also of interest. Between 8-10 questions.
  • When submitting an article, the writer’s name, title at the company and a short BIO (professional only) must be included
  • The article may not have been published elsewhere.
  • Submissions must be delivered in Word format.

INCLUSIVITY COURSE

Inclusive Speaker Orientation Online Course

The Linux Foundation, in collaboration with the National Center for Women in Technology (NCWIT), has created an online course designed to teach the viewer about inclusion, diversity and unconscious bias. It is strongly encouraged by the Cloud Native Computing Foundation that all our speakers watch the course to learn tips/tools to use when speaking to encourage inclusivity in presentations and messaging.
